The Silent Profit Eater
When stock goes missing, the immediate assumption is theft. But in reality, only 30% of inventory shrinkage is due to deliberate theft. The remaining 70% is caused by administrative errors, supplier under-delivery, spoilage, and process failures. These are "thefts that nobody knows they're committing."
At Stonehenge Digital, we categorize shrinkage into four types, each with a specific dashboard control to stop it.
Type 1: Administrative Shrinkage (The Receiving Error)
The supplier delivers 48 bags of cement instead of 50. Your loading clerk signs the delivery note without counting. The system updates stock to +50. Two bags are "missing" but were never actually there.
- Dashboard Fix: A "Goods Received Note" (GRN) digital workflow. The receiving clerk must scan or manually enter the quantity *they physically count*, not what the invoice says. The system matches invoice vs. GRN and flags discrepancies. The supplier is notified immediately.
Type 2: Process Shrinkage (The Point of Sale Error)
Your cashier accidentally scans a 1kg sugar as a 2kg sugar (lower price). The customer pays the lower amount. The inventory deducts 1kg, but the sale price is wrong. The profit on that sugar has shrunk.
- Dashboard Fix: Barcode scanning integration ensures the correct item and price are always selected. If a barcode isn't available, the system shows a product image at POS for visual verification. Daily variance reports flag unusual price overrides.
Type 3: Damage & Spoilage Shrinkage
Items expired, broke during handling, or got infested. They can't be sold, but they were already counted as inventory assets.
- Dashboard Fix: A "Write-Off" button at POS with mandatory reason selection (Expired, Broken, Pest Damage, Spillage). The system automatically reduces inventory and creates a loss report. For expirable items, batch tracking and expiry alerts (see Article 45) prevent write-offs entirely.
Type 4: Malicious Shrinkage (Theft)
A staff member deliberately under-charges a friend, voids a sale after the customer pays and pockets the cash, or walks out with physical stock.
- Dashboard Fix: Exception reports: "Top 5 Voided Transactions by Employee," "Discounts >20% by Employee," "Stock Adjustments Made Outside Normal Hours." The dashboard doesn't accuse; it surfaces anomalies for the owner to investigate discreetly. Often, the awareness that these reports exist acts as a powerful deterrent.
A Culture of Accuracy, Not Suspicion
The goal of shrinkage management is not to create a police state. It's to put systems in place that make accuracy the easiest path. Good people sometimes make mistakes under pressure. The dashboard catches the mistakes before they become losses.
