The eTIMS Anxiety
Let's address the elephant in the room for every registered Kenyan SME: KRA eTIMS (Electronic Tax Invoice Management System).
For most business owners, eTIMS is a source of pure anxiety. It's the fear of getting an invoice wrong, the fear of the KRA portal crashing, and the sheer time it takes to manually type invoice details into the TIMS portal after you've already served the customer.
But what if your website did it for you? What if compliance wasn't a separate chore, but a silent, automated byproduct of your daily sales operations?
From Manual Entry to API Automation
At Stonehenge Digital, we build Business Management Websites with an eTIMS Integration Layer. Here is how the workflow changes:
The Old Way (Manual Compliance)
- Customer buys goods worth KES 5,000.
- You write a manual receipt.
- End of the day, you open KRA eTIMS portal.
- You re-type the customer's KRA PIN, the item, the amount.
- You generate the eTIMS Invoice number.
- You hope the customer doesn't call asking for a proper stamped invoice later.
The Stonehenge Way (Automated Compliance)
- Customer buys goods worth KES 5,000.
- You enter the sale into your Stonehenge Dashboard (or scan a barcode).
- You click "Generate eTIMS Invoice."
- Behind the Scenes: The website instantly pings the KRA API, transmits the sale data, and receives a valid KRA eTIMS Invoice Number and QR Code.
- Result: A professional, KRA-compliant PDF invoice is either printed for the customer or emailed to them instantly.
- Audit Trail: The system keeps a permanent, searchable log of every eTIMS transaction. When the KRA auditor comes, you export a report in 30 seconds.
The Hidden Benefit: Stock Control
Because the system is tracking what you sell for tax purposes, it is simultaneously tracking what you have left in stock. This closes the loop on the biggest pain point for Kenyan retailers: pilferage and stock-outs. If the system says you sold 5 bags of cement and generated 5 eTIMS invoices, the stock count should be down by exactly 5.
Compliance as a Competitive Advantage
We view eTIMS not as a tax burden, but as a digital transformation trigger. Businesses that automate this process now will have cleaner data, better banking relationships, and significantly lower accounting costs in 2027.
Stop typing into the KRA portal manually. Let the website handle the taxman.

As an accountant, I endorse this message 100%. Manual eTIMS entry is a drain on productivity and a source of errors. API integration is the only sustainable way for SMEs to handle the new compliance regime. Stonehenge, if you can make this seamless, you will have a queue of clients out the door.

The anxiety is REAL. I'm so scared of KRA. I've been doing manual receipts and then rushing to the TIMS portal at month end. It's stressful. My question is about internet connectivity. What happens if I click "Generate eTIMS Invoice" and the KRA portal is down (which happens often)? Does the system save the sale as a "pending eTIMS" and retry later? Or does it block the sale? I cannot stop selling just because the KRA website is slow. I need an offline mode or a queue system. Also, what about the customers who don't have a KRA PIN? Like walk-in retail customers. Do we just use a generic "Cash Sale" PIN?

"Compliance as a competitive advantage." That's a great reframe. I hate it, but it's true. If I can issue eTIMS invoices faster than my competitor, I look more professional.

The stock control loop closure is the hidden gem here. If I'm scanning items for eTIMS, I'm also tracking inventory. Two birds, one stone.

I'll believe it when I see it. KRA APIs are notoriously unreliable. If Stonehenge has cracked the code to make this work without headaches, I'm all in.

I run a salon. We just take cash/M-Pesa from walk-ins. Do I really need eTIMS? I thought it was just for VAT-registered businesses? Clarification needed on threshold.

The audit trail feature is what I need. When KRA comes knocking with their "mystery shopping" audits, I want to just print a report and hand it over. No digging through dusty receipt books.

This is the future. We can't fight the taxman forever. Better to automate and focus on making more money.

Does the system support purchase eTIMS? When I buy from a supplier, I need to record their eTIMS invoice too. That's the full compliance picture.

Thank you for explaining this in plain English. The KRA notices are so confusing. This makes me feel like I can actually handle this without hiring a full-time accountant.
