The M-Pesa "Float Management" Hack: Connecting Till Numbers to Your Website Dashboard

The Family Business Trust Gap

This is a conversation we hear weekly at Stonehenge Digital from SMEs in Eastleigh, River Road, and Gikomba:

"I want to hire a shop manager to handle walk-in customers while I'm at the bank or sourcing stock. But how do I trust them with the M-Pesa Till? I can't give them my phone PIN. But if I don't give them access, I have to handle every single payment myself."

This is the Float Management Dilemma. You need to delegate operations, but you cannot delegate financial authorization. The solution is not a bigger phone. It's a separation of duties via a Management Website Dashboard.

Separation of Information vs. Authorization

Here is the exact workflow we build for Kenyan retail and wholesale businesses:

The Physical Setup

  • Owner's Phone: Keeps the Safaricom SIM card. Only the owner can input the M-Pesa PIN to withdraw float or pay suppliers via Lipa Na M-Pesa.
  • Manager's Access: The manager is given a login to the Stonehenge Digital Business Dashboard (accessible via any browser on their phone or a tablet at the counter).

The Dashboard Permissions

The manager's login grants them Read-Only access to the "Transactions" and "Inventory" modules.

What they CAN do:

  • See that Customer X just paid KES 1,500 via Till Number.
  • Click "Mark as Paid" in the system (which updates the stock count).
  • Print a receipt for the customer via a Bluetooth thermal printer.
  • See that stock of "Rice 5kg" is low and create a purchase request note.

What they CANNOT do:

  • Reverse a transaction.
  • Send money from the Till to another number.
  • Change pricing or delete sales records.

End-of-Day Reconciliation in 5 Minutes

At the end of the day, the owner (wherever they are) logs into their Admin view. The dashboard shows:

  • System Sales Recorded: KES 45,000.
  • M-Pesa Statement Balance (Auto-Fetched): KES 45,000.

If the numbers match, the owner sleeps well. If there's a discrepancy of KES 200, they can call and ask: "There's a missing KES 200 transaction at 2 PM."

This isn't about spying on employees. It's about creating a system of accountability that allows you to step away from the counter without the business collapsing.

This is my biggest headache. I have three shops. I can't be at all of them. I trust my managers, but I also need accountability. The read-only dashboard is exactly what I've been looking for. No more "system iko down" excuses.

I'm a small shop, but I have one employee who handles the till when I go to the bank. I want to implement this. But I have a question about the Bluetooth printer. Is it reliable? In Kenya, we have power cuts. Does the printer work offline? And does the manager need to be tech-savvy? My current cashier knows how to use M-Pesa but struggles with a smartphone. Can the dashboard be on a simple computer screen, or is it phone-only? I need something robust that won't crash when network is slow.

Separation of Information and Authorization. That's the corporate governance lesson I needed. I'm setting this up next week.

The end-of-day reconciliation in 5 minutes is the dream. Currently, counting cash and matching M-Pesa takes me an hour. I'm always tired after work.

Can the owner "push" stock updates to the manager's dashboard? Like, "I bought 100 bags of sugar. They are now in the system for you to sell." That would close the loop.

This is perfect for family businesses where trust is high but procedures are low. It creates a system without implying you don't trust your cousin. It's just "the system."

What happens when the internet is down? Does the manager just use a manual receipt book and enter it later? That's the Kenyan reality we need to plan for.

I've been looking for exactly this. I run a pharmacy. I need to track sales and stock, but I can't give my employees access to my M-Pesa PIN. This is the solution.

"This isn't about spying on employees. It's about creating a system of accountability." I'm stealing that line for my next staff meeting.

The ability to see the transaction in real-time from anywhere is what sells it. I can be in shags (village) and still know what's happening in the shop.
