The 60-Second Background Check
If you are a supplier bidding for a contract with Safaricom, a major bank, or a county government, you spend weeks compiling physical bid documents. But here's a secret: Your online presence is being judged within the first 60 seconds of the procurement officer opening your email.
Before they even unzip your PDF tender document, they right-click your email address: [email protected]. That action tells them everything. If it's a Gmail address, you've already lost points. If that domain leads to a blank page or an error, you're on the "B" list.
This is the unspoken digital vetting process for Kenyan corporate clients.
The Three-Part Vetting Framework
1. Domain & Email Hygiene (The Entry Ticket)
In 2026, using @gmail.com or @yahoo.com for corporate communication is the equivalent of showing up to a board meeting in shorts. It signals a lack of investment in operational security.
- Solution: A custom domain (
@company.co.ke) with proper SPF and DKIM records to prevent your quotes from landing in spam. - Fintech Angle: Corporate clients are terrified of invoice fraud and BEC (Business Email Compromise) scams. A proper domain setup mitigates this risk for them.
2. The KRA/Compliance Footer (The Assurance)
Corporate Kenya runs on compliance. A website footer should not just have a copyright symbol. It should silently scream, "We are in the system."
- Must-Have Elements: Company Registration Number, KRA PIN (optional but powerful), Physical Address.
- Advanced Tip: A link to a verifiable trade license or a dedicated "Compliance" page showing you are eTIMS ready. This reduces the friction for the accounts payable department.
3. The "Proof of Life" Portfolio
Don't just say you do "Construction." Show a photo of your team wearing branded PPE at a site near Two Rivers Mall. Corporate clients want to see that you've successfully navigated the Kenyan business environment before. They want proof you know how to handle county askaris and utility connections.
Bridging the Trust Gap
Think of your website as a pre-filled Vendor Registration Form. The more information you provide upfront, the fewer questions they need to ask. In procurement, fewer questions = faster payments.

This is the "Silent Vetting" process explained perfectly. I was trying to explain to a client why his @yahoo.com email made me cringe. I'm sending him this link. It's not snobbery; it's cybersecurity hygiene.

As an auditor, I see the backend of these procurement processes. The number of suppliers who get disqualified for having a mismatch between the email domain and the website is high. Or worse, the website link leads to a domain parking page. It's an instant red flag for shell companies. This article should be mandatory reading for Access to Government Procurement Opportunities (AGPO) certified firms.

SPF and DKIM records? Sasa mmetuchanganya. I just want a website. Do you guys set up the email authentication as part of the service? Because I have no idea what "Sender Policy Framework" is. I just know my emails go to spam sometimes.

I lost a potential client because my website was esther-consulting.wixsite.com/esther. They thought it was a hobby blog, not a serious consultancy. The free domain cost me a KES 500k project. Hard lesson learned.

The "Proof of Life" portfolio is something I'd never thought about. We have photos on site at Two Rivers. I'm updating the website tonight to feature those more prominently. Good call.

Kwanza hii maneno ya BEC scams (Business Email Compromise). It's real. A client almost paid KES 800k to a fake invoice from a lookalike domain. If we both had proper domain security, it wouldn't have happened. Website security is not just about hackers stealing data; it's about stopping thieves from intercepting payments.

Question: What if my business is registered but I operate mostly on WhatsApp? Does the KRA PIN on the website actually get checked? Or is it just for show?

This is the difference between a fundi and a contractor. The fundi has a Gmail account. The contractor has a domain and a compliance page. I'm working on upgrading my status.

I'd add that the "About Us" page needs to list individual professional qualifications. ERB, AAK, ICPAK numbers. For B2B, that's the equivalent of a doctor's license on the wall.

This is a wake-up call. I've been ignoring the compliance footer for years. I'm adding it today.
